Gaps in your invoice sequence can cause problems with tax authorities. Use sequential numbers and never delete an invoice — void it instead.

Sending the wrong currency

If your contract specifies EUR, invoice in EUR. Currency mismatches cause delays while clients seek approval to pay in the "wrong" currency.

Do freelancers need to charge VAT?

It depends on your country and annual turnover. In most EU countries you must register for VAT once you exceed a certain threshold. Below that threshold you invoice without VAT but should note 'VAT not applicable' or the relevant exemption on the invoice.

How should I number my invoices?

Use a consistent sequential format, e.g. INV-2025-001, INV-2025-002. Include the year so your numbering resets cleanly each year. Never reuse a number — if an invoice is cancelled, mark it as void.

What payment terms should freelancers use?

Net 14 (payment due within 14 days) is common for small projects. Net 30 is standard for larger corporate clients. For new clients or large amounts, consider asking for a 50% deposit upfront.

Is a digital invoice legally valid?

In most countries, yes. A PDF invoice sent by email is legally equivalent to a paper invoice as long as it contains all required information. Always keep a copy for your own records.
